Google Workspace pricing (2026): what it costs per user, and a flat-price alternative

Google Workspace is billed per user, per month. Here is roughly what each plan costs, what that adds up to for a small team, and when a flat-price email service makes more sense.

Figures are approximate USD public list prices and change from time to time. Source and current prices: Google Workspace pricing page.

How billing works

What drives your Google Workspace bill

Every user is a licence

Each person who signs in to their own inbox needs a paid licence, so the bill grows with headcount.

Annual vs flexible

Annual commitment is cheaper per user; flexible monthly billing costs more but lets you change user counts anytime.

You pay for the suite

Every plan bundles Gmail with Docs, Drive, Meet and more — useful if you use them, overhead if you only need email.

Team cost

What a small team pays per year

Annual-plan list prices multiplied out. HavitoMail shown for comparison — it is email only.

A flat-price alternative

If you only need email, you don't need per-user pricing

Stay on Google Workspace if…

  • your team lives in Docs, Sheets, Drive and Meet
  • people need tens of gigabytes of mail or file storage each
  • you rely on Google's admin, security or compliance tools

Consider HavitoMail if…

  • you mainly need email on your own domain
  • you want 20 mailboxes for $19 a year, not per user
  • 10 GB of shared storage is enough for the team
  • you use other tools (or free ones) for documents and calls

FAQ

Google Workspace pricing FAQ

How much does Google Workspace cost per user?

At public list prices, Business Starter is about $7 per user per month on an annual commitment, Business Standard about $14 and Business Plus about $22. Monthly flexible billing costs roughly 20% more. Prices change and vary by country, so check Google’s own pricing page for the current figure.

What is the difference between the annual and flexible plan?

On the annual plan you commit to a number of licences for a year at a lower per-user price. On the flexible plan you pay month to month at a higher per-user price, but you can add or remove users at any time.

How much does Google Workspace cost for 10 users?

About $840 a year on Business Starter with annual billing, or about $1,680 a year on Business Standard, before tax. Every extra person adds another licence.

Do shared addresses like info@ need a paid licence?

Not always. In Google Workspace an address can be an alias or a group that forwards to existing users without a licence. But a separate inbox that someone signs in to is a user account and needs its own paid licence.

Is there a cheaper alternative if I only need email?

Yes. HavitoMail is email only: Pro costs $19 per year flat for up to 20 mailboxes on 5 domains, not per user, and you can try it free for 14 days before you pay. It does not include office apps, cloud drive or video meetings.

When is Google Workspace worth paying for?

When your team works in Google Docs, Sheets, Drive and Meet every day, or needs large per-person storage. If you mainly need professional email on your own domain, a flat-price email service usually costs much less.

Email for the whole team, one flat price

Try it free for 14 days on your own domain. Then Pro is $19/year for 20 mailboxes — not per user.
