Which Outlook do you have?
New Outlook for Windows has a simplified, web-like interface and a “New Outlook” toggle in the top corner; it is gradually replacing the built-in Mail app on Windows 11. Classic Outlook is the traditional desktop app with File and ribbon menus, included with Microsoft 365 Apps and standalone Office versions. Outlook for Mac has its own interface and a “Legacy Outlook” option for older layouts.
New Outlook connects to IMAP accounts through Microsoft’s cloud, which syncs your mail on your behalf. Classic Outlook and Outlook for Mac connect directly from your computer. Both approaches work with standard IMAP providers.
Settings you will need
- Account type: IMAP.
- Incoming mail: mail.havitomail.com, port 993, encryption SSL/TLS.
- Outgoing mail (SMTP): mail.havitomail.com, port 465 with SSL/TLS, or port 587 with STARTTLS.
- Username: your full email address for both servers; password: your mailbox password.
- Outgoing server requires authentication: yes, using the same credentials as incoming.
New Outlook for Windows
- Open Settings (the gear icon) → Accounts → Email accounts → Add account.
- Enter your email address and click Continue.
- If Outlook cannot detect the provider, choose IMAP from the list of account types.
- Expand or select Show more / Advanced settings and enter the IMAP incoming server, port 993 with SSL/TLS, and the SMTP outgoing server, port 465 (SSL/TLS) or 587 (STARTTLS).
- Enter your full email address and password for both, then click Continue. Outlook may ask you to confirm that your account will sync through Microsoft cloud — accept to finish.
Classic Outlook for Windows
- Click File → Add Account.
- Type your email address, then click Advanced options and tick Let me set up my account manually. Click Connect.
- Choose IMAP on the Advanced setup screen.
- Incoming mail: server mail.havitomail.com, port 993, encryption method SSL/TLS.
- Outgoing mail: server mail.havitomail.com, port 465 with SSL/TLS (or 587 with STARTTLS). Leave “Require logon using Secure Password Authentication (SPA)” unticked.
- Click Next, enter your password, and click Connect. When it says Account successfully added, click Done.
Outlook for Mac
- Open Outlook → Settings (or Preferences) → Accounts, then click + → New Account.
- Enter your email address and click Continue.
- If Outlook shows a provider selection, choose IMAP/POP; then select IMAP as the type.
- Enter your full email address as the username, your password, and the incoming server mail.havitomail.com with “Use SSL to connect” on and port 993.
- Enter the outgoing server mail.havitomail.com with SSL on and port 465 (or 587), then click Add Account.
Fixing common Outlook problems
- Outlook keeps asking for your password — the password is wrong or the username is not the full email address. In classic Outlook, check File → Account Settings → Account Settings → Change.
- Sending fails with error 0x800CCC0F or similar — the SMTP port and encryption do not match. Use SSL/TLS with 465 or STARTTLS with 587.
- Security warning about the certificate — you used mail.yourcompany.com. Use the provider’s hostname, mail.havitomail.com.
- Sent and Deleted items go to local folders — in classic Outlook, right-click the server’s Sent folder and choose the option to use it for sent items, or set the folders in the account’s advanced settings.
- Autodiscover picks the wrong settings — always use the manual setup path above for a custom domain unless your provider tells you otherwise.
Outlook on the web and Outlook.com
Outlook.com accounts can add other mailboxes, but support for connecting external IMAP accounts on the web has changed over time, so check Microsoft’s current documentation if you want everything in one Outlook.com inbox. For most people the desktop or mobile apps above are simpler. And when you are away from your own computer, your provider’s webmail is usually the quickest way in — HavitoMail webmail shows the same mailbox your Outlook syncs with.
Frequently asked questions
Do I need Microsoft 365 to use Outlook with my business email?
No. Outlook works with any provider that offers IMAP and SMTP. You only need Microsoft 365 if you want Microsoft to host your email or you want the Office apps.
Does new Outlook for Windows support IMAP?
Yes. New Outlook can add IMAP accounts; it syncs them through Microsoft’s cloud service. Classic Outlook connects to the IMAP server directly from your computer.
Should I tick Secure Password Authentication (SPA)?
No, not for standard IMAP providers. Leave SPA unticked — the connection is already encrypted with SSL/TLS, and SPA is a Microsoft-specific method most servers do not use.
Will my existing Outlook folders sync?
Folders on the IMAP server sync to Outlook. Folders that exist only in a local data file (a .pst) stay on that computer unless you move them into the IMAP account.
