How Much Does Business Email Cost? (2026 Pricing Guide)

Business email can cost almost nothing or well over a thousand dollars a year for the same number of people. The difference comes down to one thing: whether you pay per user or a flat price. Here is how pricing works, what real teams pay, and the costs that do not show up on the pricing page. Figures are approximate — always check current pricing before you commit.

The two pricing models

Per-user pricing charges a monthly fee for every mailbox. It is how Google Workspace, Microsoft 365, Zoho, Proton and Fastmail all work. It is simple to understand, but your bill grows every time you hire — and often when you want a role address like sales@ to be its own mailbox.

Flat pricing charges one price for a bundle of mailboxes. HavitoMail Pro, for example, is $19 per year (₹1,499 in India) for up to 20 mailboxes across 5 domains with 10 GB of storage. Adding the fourth or the fifteenth person costs nothing extra until you reach the plan’s limits.

Worked example: a team of 3

  • Google Workspace entry plan at roughly $7/user/month: about $252 a year.
  • Microsoft 365 Business Basic at roughly $6–7/user/month: about $216–252 a year.
  • A low-cost per-user plan at roughly $1–2/user/month: about $36–72 a year.
  • HavitoMail flat plan: $19 a year.

Worked example: a team of 10

  • Google Workspace: about $840 a year.
  • Microsoft 365 Business Basic: about $720–840 a year.
  • Low-cost per-user plan: about $120–240 a year.
  • HavitoMail: still $19 a year — the same price as for 3 people.

Worked example: a team of 20

  • Google Workspace: about $1,680 a year.
  • Microsoft 365 Business Basic: about $1,440–1,680 a year.
  • Low-cost per-user plan: about $240–480 a year.
  • HavitoMail: $19 a year, using all 20 mailboxes on the plan.
  • Of course, the suites include documents, storage and video meetings. The fair comparison is how much you are paying for the email part, and whether you use the rest.

Hidden costs to budget for

  • The domain itself — typically around $10–20 a year for a .com, more for some country domains and premium names. Watch for cheap first-year prices that renew higher.
  • Extra mailboxes for role addresses — on per-user plans, making info@ or support@ a separate login usually means another licence. Aliases avoid this.
  • Storage add-ons — if you keep years of attachments, larger storage tiers cost more on most providers.
  • Migration time — copying old mail over IMAP is free with tools like imapsync, but someone has to do it, or you pay a consultant.
  • Monthly vs annual billing — monthly plans are often noticeably more expensive than the annual equivalent.
  • Currency and tax — prices may be quoted before VAT or GST, and in a currency other than yours.

Free business email: the catches

“Free” business email exists, but it nearly always comes with conditions:

  • Free for the first year only when bundled with a domain or hosting, then billed at a renewal price.
  • Limited users and storage, or web and mobile-app access only, without IMAP for desktop clients.
  • Hosting-bundled mailboxes that share IP reputation with many other customers, which can affect deliverability.
  • Little or no help with SPF, DKIM and DMARC, so mail lands in spam.
  • HavitoMail does not have a free-forever plan; instead it has a 14-day free trial and then a low flat price.

How to choose on cost

Start from what you actually need. If you need a full office suite, compare the suites and accept per-user pricing. If you need mailboxes on your domain and already have tools for documents and meetings, a flat plan will almost always be cheapest once you have more than one or two people. Run your own numbers with the Google Workspace cost calculator, then compare against a flat price.

Frequently asked questions

How much does business email cost per month?

Per-user plans range from about $1 to $7 or more per user per month for entry tiers. Flat plans like HavitoMail work out at under $2 per month for the whole team ($19 per year for up to 20 mailboxes).

Do I have to pay for a domain separately?

Usually, yes. Domains are bought from a registrar for roughly $10–20 a year for a .com. Some providers include a domain for the first year, but it then renews at the normal price.

Is there truly free business email?

There are limited free plans and first-year-free bundles, but they typically restrict users, storage or app access, or renew at a paid price. Check the terms before relying on one.

Do aliases cost extra?

On most providers aliases are free because they deliver into an existing mailbox. HavitoMail includes aliases on your own domains at no extra cost.
