The details every app will ask for
Whichever app you choose, keep these values handy. For HavitoMail they are:
- Email address: you@yourcompany.com (your full address).
- Account type: IMAP (personal / IMAP — never Exchange for a standard IMAP provider).
- Incoming server: mail.havitomail.com, port 993, security SSL/TLS.
- Outgoing server: mail.havitomail.com, port 465 with SSL/TLS, or port 587 with STARTTLS.
- Username for both servers: your full email address. Require sign-in for outgoing mail: on.
Option 1: the Gmail app
The Gmail app on Android can manage non-Google accounts over IMAP, which is handy if you already live in it. Note that this is separate from the desktop Gmail “Check mail from other accounts” feature — the Android app connects to your server directly.
- Open Gmail, tap your profile picture (top right), then Add another account.
- Choose Other (not Google, Outlook or Yahoo).
- Enter your email address and tap Manual setup.
- Choose Personal (IMAP).
- Enter your password, then on the incoming server screen set the server to mail.havitomail.com, security type SSL/TLS, port 993. Username is your full address.
- On the outgoing server screen set mail.havitomail.com, SSL/TLS on port 465 (or STARTTLS on 587), keep “Require sign-in” on, and confirm the username.
- Pick a sync frequency, give the account a name, and you are done.
Option 2: Outlook for Android
Outlook is a strong choice if you also use Outlook on a computer and want the same look on your phone.
- Open Outlook, tap the account icon, then the add-account (+) button and Add email account.
- Enter your email address and tap Continue. If Outlook offers a provider, tap Change account provider (or Setup account manually) and choose IMAP.
- Turn on Advanced settings and fill in the IMAP and SMTP hostnames, ports, usernames and password as listed above.
- Tap the tick to save. Outlook will sync your folders over the next minute or two.
Option 3: Samsung Email
Samsung phones ship with Samsung Email, which handles IMAP well and integrates with the phone’s notifications.
- Open Samsung Email. If it is your first account, the setup screen appears; otherwise open the menu → Settings → Add account.
- Choose Other, enter your email and password, then tap Manual setup.
- Select IMAP account.
- Set Incoming server to mail.havitomail.com, Security type SSL, Port 993.
- Set Outgoing server to mail.havitomail.com, Security type SSL with port 465 (or TLS/STARTTLS with 587), and enable “Require authentication to send emails”.
- Tap Sign in and choose your sync schedule.
Troubleshooting on Android
- “Couldn’t open connection to server” — usually a security type and port mismatch. SSL/TLS must pair with 993 or 465; STARTTLS with 587.
- “Username or password is incorrect” — use the full email address as the username, and check that autofill has not added a trailing space.
- Certificate warnings — you probably used mail.yourcompany.com. Use your provider’s hostname, which matches its certificate.
- Mail arrives late — Android battery optimisation may delay background sync. In system settings, set the mail app’s battery usage to “Unrestricted” or exclude it from optimisation.
- Can send but not receive from outside senders — check your domain’s MX records; this is a DNS issue rather than an app issue.
Which app should you use?
If you want one app for personal Gmail and work email, the Gmail app is convenient. If your team standardises on Outlook, use Outlook everywhere. Samsung Email is light and fast on Galaxy phones. All three use IMAP, so you can switch apps later without losing anything — your messages stay on the server and also appear in HavitoMail webmail.
Frequently asked questions
Should I choose “Personal (IMAP)” or “Exchange” on Android?
Choose IMAP for providers that offer IMAP and SMTP, including HavitoMail. Exchange is only for Microsoft Exchange or servers that support the Exchange ActiveSync protocol.
Why does my Android phone get email late?
Aggressive battery saving can pause background sync. Allow the mail app to run unrestricted in battery settings, and set a shorter sync interval in the app.
Can I use the same mailbox on my phone and computer?
Yes. With IMAP, read status, folders and deletions sync everywhere, so your phone, laptop and webmail all show the same mailbox.
